VizWhiz is operated by Mobile Tech Media, LLC (“we”, “us”, or “our”) at vizwhiz.ai. This policy describes how we collect, use, and protect your information when you use our service.
How VizWhiz Handles Your Data
VizWhiz has two distinct modes with very different data handling. Understanding this distinction is important.
Free Context Extractor (Landing Page)
- 100% browser-side processing — your workbook file is parsed entirely in your browser using JavaScript
- No data is uploaded to any server
- No account is required
- Extracted context is displayed in your browser and can be copied or downloaded locally
- This is an unconditional privacy guarantee — we never see your file
Signed-In Chat (Free & Paid Plans)
When you sign in and use VizWhiz Chat, workbook metadata is stored in our cloud database (Convex) to enable persistent conversation history, AI context injection, and your workbook library across sessions.
What We Store
- Field names and calculated field formulas
- Parameter definitions
- Relationship and join structures
- Dashboard layout information
- Worksheet names
- Connection metadata (if you opt in)
- Conversation history with the AI assistant
What We Do Not Store
- Actual data values or row-level data

- Raw workbook files — only the parsed metadata structure
Authentication
We use WorkOS AuthKit for authentication. When you sign in, WorkOS processes your email address and authentication credentials. We receive a verified user identity (user ID, email, name) which is used to associate your conversations and workbooks with your account. We do not store your password.
Third-Party Services
We rely on the following third-party services to operate VizWhiz:

VizWhiz’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Cookies
We use the following types of cookies:
- Authentication — session cookies managed by WorkOS to keep you signed in
- Analytics — cookies set by PostHog to understand how the service is used and improve the experience
- Preferences — cookies for UI settings such as sidebar state
We do not use advertising or behavioral targeting cookies. Third-party services listed above may set their own cookies as described in their respective privacy policies.
Analytics
We use PostHog, hosted in the European Union, for product analytics to understand how VizWhiz is used and improve the service.
We track:
- Page views and general navigation patterns
- Feature usage events such as workbook extraction, context copying, and message sending
- For signed-in users, usage is linked to your account to help us improve the experience
We do not sell analytics data to third parties. Analytics data is used solely for improving VizWhiz.
Data Retention
Your workbook metadata and conversation history are retained for as long as your account is active. You may delete individual conversations or workbooks at any time from within the application. When you delete your account, all associated data is permanently removed from our systems.
Your Rights
You have the right to:
- Access — request a copy of the data we hold about you
- Correction — request corrections to inaccurate data
- Deletion — request that we delete your account and all associated data
- Portability — request your data in a machine-readable format
- Restriction — request that we limit processing of your data

GDPR
If you are located in the EEA or UK, our legal basis for processing your personal data is:
- Performance of a contract — to provide the VizWhiz service you signed up for
- Legitimate interest — to maintain and improve our service
- Consent — where you have opted in to specific features (e.g., connection metadata storage)
Security
We implement industry-standard security measures including encrypted data transmission (TLS), authenticated API access, and secure third-party integrations. Access to production data is restricted to authorized personnel.
Changes to This Policy
We may update this privacy policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the “last updated” date above.
